The Village of Johnsburg is seeking to fill a position in its administration department. Qualified applicants must have a minimum 2 years of experience in a general clerical/administrative support position, providing customer service with frequent interaction in a fast-paced environment. Municipal experience and/or knowledge of building construction terminology and zoning codes preferred. The successful candidate will be a high school graduate with strong organizational/time management skills and a proficiency in Microsoft Office software.

The ideal candidate is energetic and dedicated to ensuring resident’s concerns are addressed in a professional and timely manner. The position is a full time position that reports directly to the Village Administrator.

Requirements and Qualifications
1. High School Graduate with a minimum two (2) years of experience in general clerical/administrative support position providing customer service with frequent interaction with the public in a fast-paced environment
2. Municipal experience and/or knowledge of building construction terminology and zoning codes preferred
3. Proficiency in Microsoft Office, including Word, Excel, Power Point, and Outlook
4. Excellent interpersonal skills and business acumen
5. Ability to work with different personality types and interface with the general public
6. Must be able to understand the English language and possess excellent communication skills; written, visual and oral
7. Proven ability to function independently and be a self-starter
8. Outstanding ability to multi-task and be flexible
9. Strong organizational/time management skills and ability to prioritize to manage workload and meet deadlines
10. Must have a positive “can do” attitude and professional appearance
11. Able to maintain confidentiality
12. Must take ownership of assigned tasks and see them through to completion
13. Valid Driver’s License

Primary Duties and Responsibilities
1. Manage front desk and phones, assisting residents with payments, licensing and permits
2. Responsible for Building Dept. intake, coordination, scheduling, and data entry    
3. Provide support to Administrator, President and Board of Trustees and committees
4. Manage Park and Field Use reservations
5. Assist with project management support and various committee projects and events
6. Prepare professionally written documents, letters of correspondence and clear and comprehensive reports by gathering data, incorporating source documents and creating spreadsheets, graphs, charts and written text.
